What information we collect, use, and why
We collect or use the following information for recruitment purposes and to provide services to our members, members of other Batala bands, and workshop attendees.

- Photographs or video recordings
- Health information (including medical conditions and allergies)
We collect or use the following personal information for dealing with queries, complaints or claims, including gig bookings.

Our lawful bases for collecting or using personal information to provide services and for recruitment purposes are:
- Consent – we have permission from you after we gave you all the relevant information. All of your data protection rights may apply, except the right to object. To be clear, you do have the right to withdraw your consent at any time.
- Legitimate interests – we’re collecting or using your information because it benefits you, our organisation or someone else, without causing an undue risk of harm to anyone. All of your data protection rights may apply, except the right to portability. Our legitimate interests are:
- to deal with any injuries or health conditions at events and workshops
- to maintain a record of any equipment we lend you, and where it is stored

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.
How long we retain your data
- Members: Financial records are retained for 6 years. Other personal data that we hold as part of your member record will be deleted 12 months after you leave the band. Members can update their own personal details on Muzodo at any time.
- Event attendees: Financial records are retained for 6 years. Other personal data that we recorded as part of your booking will be deleted 12 months after the event.
- Clients: Financial records are kept for 6 years after the booking.
What rights you have over your data
You can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
Where your data is sent
Form submissions may be checked through an automated spam detection service.
We use Stripe to process credit card transactions. They use cookies as part of their fraud prevention mechanisms. Stripe privacy policy.
Members are added to our gigs app: Muzodo to manage attendance at performances. Members can update their own details on Muzodo at any time.
Members’ email addresses are added to a secure Google group when they join, for the purpose of sending out important communications. They can remove their own email address from the group, and will be removed when they leave the band. Google privacy policy.
Members’ email addresses are added to Mailchimp so that we can send out a weekly newsletter to our members. It is possible to unsubscribe from this email, and members will be removed from the list when they leave the band. Mailchimp privacy statement.
To facilitate member-to-member communications, members can join a WhatsApp messaging community and its associated chats. By joining, you agree that other members will have access to your contact phone number. Joining the WhatsApp community is optional, and we will not share your contact details with other members by any other means. WhatsApp privacy policy.
If you need to receive a payment from us, your account details will be added to our online banking system, accessed solely for the purpose of making the payment. We will not store this information outside the bank account.
Photography
When you perform with Batala Lancaster, our photographers, as well as press and members of the public, will take photographs of the band. Photographs supplied to us will be shared on the Batala Lancaster website and social media channels, and may be stored on Google Photos. Individual photographs can be removed from the Batala Lancaster website or social media accounts by contacting the publicity manager with the URL where the photograph is displayed.
How to complain

If you remain unhappy with how we’ve used your data after raising a complaint with us, you can also complain to the ICO.
